We have an immediate need for a full-time, exempt Operations and Finance Manager position in the Greater Pittsburgh region. With a focus on financial and operational systems, processes, administration, and internal controls, this full-time, exempt position plays a key role in driving efficiency, managing budgets, and ensuring financial health while collaborating closely with various departments. The salary range for the Operations and Finance Manager role is $55,000 - $60,000, commensurate with experience. The Operations and Finance Manager is eligible to participate in GIGP's benefits package, which includes a retirement savings plan and generous paid time off.

What we’re looking for

Reporting to the Chief Executive Officer’s role, the Operations and Finance Manager is an essential member of the GIGP Team with hands-on experience in overseeing and enhancing operational and financial processes. The Operations and Finance Manager is a strategic thinker with strong analytical skills and a passion for optimizing performance. The ideal candidate is detail-oriented, able to think critically, and enjoys working in an environment that is mission-focused, results-driven, and community-oriented.

Given that this role will work in a hybrid work model and report one to two days per week in the office, only candidates who are based within commuting distance of the GIGP office will be given consideration.

What you’ll be doing

The primary responsibilities and duties of the Operations and Finance Manager position include the following essential functions:

Operations Oversight

  • Streamline operations and improve efficiencies across departments.
  • Implement and monitor key performance indicators (KPI) to measure operational effectiveness.
  • Collaborate with department heads to ensure alignment of operational goals with financial objectives.
  • Manage vendor relationships and negotiate contracts to optimize costs.
  • Serve as the first point of contact for incoming inquiries and provide sophisticated communication to liaise between Girls Inc. staff, external stakeholders, and vendors.
  • Serve as a key player in event planning teams for all annual fundraising events, including a major fundraising gala in Pittsburgh and two to three smaller networking events throughout the year, including the following: spearheading select event elements, overall logistical planning, and event data tracking and developing and maintaining tracking documents, researching, soliciting, and securing event vendors, and day-of planning and execution.
  • Manage the logistics planning of other organizational events not related to fundraising.

Financial Management

  • Maintain the finance and development operations of the organization, including the following functions: weekly donor tracking and acknowledgment; weekly and monthly reporting to the CEO to outline revenue earned; critical bookkeeping functions, including liaising with the bookkeeper to ensure accurate and timely monthly financial reconciliation and reporting, accounts payable, and accounts receivable.
  • Create, refine, and implement effective tracking systems for a combined Development team to ensure effective donor data management and stewardship.
  • Collaborate with the CEO in refining financial reporting procedures to ensure transparency and accountability across the organization.
  • Oversee data entry and maintenance of development data in Salesforce database, including complete grant funding records.
  • Collaborate with the CEO on other development work as needed, such as research, donor prospecting, stewardship activities (outreach), etc.

Strategic Planning

  • Contribute to the development of long-term strategic plans and initiatives.
  • Identify opportunities for growth. and cost savings.
  • Conduct market analysis to inform on business and investments.

Other Administrative Responsibilities

  • Lend general operational support to the CEO for strategic projects.
  • Serve as the point of contact for GIGP staff for operational questions and provide solutions in conjunction with the CEO.
  • Serve as the onsite administrator for the local office.
  • Support and manage a high volume of requests and projects to meet the objectives of Girls Inc.'s operations team.
  • Assist in other administrative tasks as needed.

What you’ll bring along

Education & Experience: High school diploma or equivalent is required. Associate's degree in a related course of study is a plus. Minimum of five years of experience in operations, financial management, or a related field.

  • Proficient in Google Workspace and Microsoft Office applications.
  • Ability to multi-task and succeed in a fast-paced environment to meet challenging growth targets on or before deadlines.

  • Prior experience with nonprofit financial management or accounting and database/CRM system management (or a willingness to learn Salesforce) is highly preferred.
